Document Archive

QUICKSILVER have provided a document archive service, as a specialty within gen­eral storage, for well over ten years. However, particular success in this area has led us to separate this operation from that of removals and general storage.

We have recruited experienced staff to manage this operation, and have constructed dedicated units on our new site specifically as document archives. As a result we are able to offer a highly competitive service in price, security, efficiency and flexibility.

In addition to our standard document archive service, we can collect or move large quantities of document boxes at very short notice, and can provide an archiving service at our premises, or off-site.

Why are documents archived?

Over time, businesses and institutions can accumulate large quantities of files and documents that need to be retained for many years, even if no longer used on a regular basis. Problems encountered with in-house storage include the lack and cost of space, labour and overheads, together with possible organisational problems in finding records when required.

QUICKSILVER's archive service is designed to solve these problems. By storing records with us, clients find that they can save money and still access a document quickly, within an hour or so if need be.

How are documents archived?

The majority of documents and files are packed into dedicated storage boxes (typically 420 x 350 x 265mm in size) QUICKSILVER's boxes are of a high specification, being stronger and yet cheaper than branded products.

Records can be boxed by the client or by QUICKSILVER staff, with the contents catalogued against a box reference for easy location. The catalogued boxes are then stored in our dedicated, humidity-controlled archive store, on high-quality racking units.

Every location on the racking has a unique reference that is recorded on a computer database along with details of the box contents, where appropriate. This allows us to locate any box, or individual file or record within minutes, for retrieval and client inspection.

If items to be stored are of an unusual shape or size, such as drawings or ledgers, QUICKSILVER will endeavour to pro­vide special boxes or fittings to achieve a cost-effective and secure storage solution.

What does it cost?

A consultation with each client allows us to establish the individual service required and provide a quotation.

How are documents retrieved?

When a client requires access to a record or box, a faxed or emailed request ensures its delivery the next working day, or, if specified, on the same day, within one hour, or whenever suits the client. A client may also notify us of boxes to be collected. Boxes are transported in our well-maintained fleet of vehicles, and for moving unboxed records prior to archiving, we can provide heavy-duty removal crates.

Clients can inspect their documents at QUICKSILVER's site free of charge as long as they provide advanced warning of their intention by fax or email.

Destructlon of Unwanted Documents

securishredQUICKSILVER provides a total service for the disposal of unwanted confidential documents, whether in boxes, sacks or loose. For boxes in store, our computer tracking system indicates daily the boxes due for destruction. After confirmation with the client, we arrange for disposal via shredding by a dedicated recycling agency who can ensure absolute confidentiality. Incineration is not offered due to environmental considerations.

A certificate of destruction is issued to the client. We can also, at short notice, arrange for the collection and destruction of bulk documentation from remote sites.
