QUICKSILVER
has been providing a Document Archive service for well
over 10 years, as a speciality within our general storage.
Because
of particular success in this area, we have decided
to separate this operation from that of Removals and
General Storage. We have appointed new, experienced
staff to manage this operation, and are constructing
special units on our new site specifically as Document
Archives.
In
addition to our standard Document Archive service, we
are able to collect or move large quantities of document
boxes at very short notice. We offer an archiving service,
either at Throckley, or off-site.
With
clients who are leaders in their respective fields,
we know that we can offer a highly competitive service
in price, efficiency and flexibility.

WHY
ARE DOCUMENTS ARCHIVED?
Over time, businesses and institutions can
accumulate large quantities of files and documents that may
need to be retained for many years, even if no longer referred
to on a regular basis. Problems encountered by in-house storage
include the lack of space, the cost of space, labour and overheads,
and possible organisational problems in finding records when
required.
QUICKSILVER's
archive service is designed to solve these problems. By storing
records with us, clients generally find that they can save
money and still access a document quickly, within an hour
if need be.

HOW ARE DOCUMENTS ARCHIVED?
The
majority of records stored are documents and files packed
into dedicated storage boxes typically (420 x 350 x 265) mm
in size. Boxes can be obtained from QUICKSILVER
that are of a high specification, yet cheaper than branded
products.
Records
are boxed by the client or by QUICKSILVER
staff. The contents should be catalogued against a box reference
so they can be located speedily. This can be carried out by
clients' staff, or by our own skilled personnel who will
log the items to our computerised database.
The catalogued
boxes are then stored in our dedicated, humidity-controlled
archive store, on new high-quality racking units with steel
shelf panels.
Every
location on the racking has a unique reference that is recorded
on our computer database as part of the box record. We are
therefore able to locate any box within minutes for retrieval
and client inspection. Our cataloguing and retrieval service
can be by box only, or by individual file or record.
If items
to be stored include drawings, ledgers or other items of unusual
shape or size requiring special boxes or fittings, QUICKSILVER
will endeavour to provide a cost-effective, secure storage
solution.

WHAT
DOES IT COST?
Our collection and delivery charges are structured
so as to provide clients the opportunity to access to their

HOW
ARE DOCUMENTS RETRIEVED?
When
a client requires access to a record or box, a faxed or emailed
request ensures that it is delivered the next working day,
or, if specified, on the same day, or within 1 hour, or by
whatever agreement exists with that client. By fax or email,
a client also notifies us of boxes to be collected. Boxes
are transported in our well-maintained fleet of vehicles.
For moving unboxed records prior to archiving, we can provide
heavy-duty removal crates.
Provision
can be made for clients to inspect their documents at QUICKSILVER's
site. Advanced warning overnight must be given by fax or email,
else be subject to the charges of other premium services.

SECURITY
Our new purpose-built document archive, set
in a high security compound with other storage units, is protected
by 24-hour fire and intruder alarm systems, which are constantly
monitored by an off-site station. This is supplemented by
regular site patrols.

DESTRUCTION
OF UNWANTED DOCUMENTS
QUICKSILVER
provides a total service for the disposal of unwanted confidential
documents, whether in boxes, sacks or loose. For boxes in
store, our computer tracking system indicates daily the boxes
for which destruction is due. After confirmation with the
client, we arrange for disposal by shredding by an expert
re-cycling agency who can ensure absolute confidentiality.
Incineration is not offered due to environmental considerations.
A certificate
of destruction is issued to the client. We can also, at short
notice, arrange for the collection and destruction of bulk
documentation from remote sites.
